LEGAL NOTICE: These Terms and Conditions have been drafted for Peace Taekwondo Academy and are intended to reflect applicable Indian law including the Indian Contract Act 1872, the Consumer Protection Act 2019, and relevant sports and education regulations. This document should be reviewed by a qualified legal professional before publication and before being presented to enrolling athletes and families.

1. Introduction and Acceptance of Terms

These Terms and Conditions (“Terms”) govern the relationship between Peace Taekwondo Academy, a unit of Peace Sports Trust (Registered), operating from SportsCube Centre for Excellence, Sector 70, Gurugram, Haryana, India (hereinafter referred to as “the Academy”, “We”, “Us”, or “Our”) and any individual who enrolls in a training program, visits our Website, uses our services, participates in a camp or event, or resides in our residential facility (hereinafter referred to as “the Athlete”, “You”, or “Your”).

Where the Athlete is a minor under 18 years of age, these Terms apply to the parent or legal guardian who enrols the Athlete and provides consent on their behalf. The parent or guardian accepts these Terms on behalf of themselves and the minor Athlete.

By enrolling at Peace Taekwondo Academy, submitting an enrollment form, making a fee payment, or accessing our Website or services in any capacity, You confirm that You have read, understood, and agree to be bound by these Terms and Conditions in their entirety.

The Academy reserves the right to amend these Terms at any time. Updated Terms will be published on our Website at www.peacetaekwondo.com. Continued participation in Academy programs after the publication of revised Terms constitutes acceptance of the revised Terms.

2. Definitions

For the purposes of these Terms and Conditions:

Academy means Peace Taekwondo Academy, a unit of Peace Sports Trust (Regd.), operating from SportsCube Centre for Excellence, Sector 70, Gurugram, Haryana, India.
Athlete means any individual enrolled in or applying to any training batch, program, camp, workshop, residential facility, or other service offered by the Academy.
Parent or Guardian means the parent, legal guardian, or other person with lawful authority over a minor Athlete under 18 years of age who has enrolled the Athlete in Academy programs and accepted these Terms on the Athlete’s behalf.
Enrollment means the process by which an Athlete is formally admitted to an Academy program, confirmed by the completion of an enrollment form and payment of the applicable registration fee.
Program means any training batch, coaching program, camp, workshop, seminar, residential training, school program, self-defence program, or other service offered by the Academy.
Registration Fee means the one-time non-refundable fee of ₹1,000 (one thousand rupees) payable by all new enrolling Athletes.
Tuition Fee means the recurring monthly, quarterly, half-yearly, or annual fee payable for participation in an Academy Program as per the fee schedule communicated at the time of Enrollment.
Residential Program means the full-time live-in training program available to Athletes aged 13 years and above, which includes training, accommodation, and meals at the Academy’s residential facility in Gurugram.
Website means the official Academy website accessible at www.peacetaekwondo.com.
Governing Bodies means India Taekwondo, the Taekwondo Federation of India (TFI), and World Taekwondo, which regulate competitive Taekwondo in India and internationally.

3. Enrollment and Admission

3.1 Eligibility

The Academy welcomes Athletes from 3 years of age and above across all experience levels from complete beginners to advanced competitive athletes. Specific age eligibility requirements apply to certain Programs including the Residential Program which requires Athletes to be at least 13 years of age.

Admission to the Elite batch or Residential Program is subject to assessment by the Academy’s coaching team. The Academy reserves the right to place Athletes in the batch or program it deems most appropriate based on that assessment.

3.2 Enrollment Process

Enrollment is completed in the following steps:

Step 1: Submission of a completed enrollment form with all required information and documents.
Step 2: Payment of the one-time non-refundable Registration Fee of ₹1,000.
Step 3: Confirmation of batch placement by the Academy’s coaching or administration team.
Step 4: Commencement of training from the confirmed start date.

3.3 Documentation Required

The Academy may require the following documents at the time of enrollment:

Proof of age (birth certificate or government-issued identity document)
Passport-size photographs of the Athlete
Medical fitness declaration or doctor’s certificate where required
Parent or guardian identity proof for minor Athletes
Any additional documents specified by the Academy or required by Governing Bodies for competition registration

3.4 Right to Refuse or Cancel Admission

The Academy reserves the right to refuse or cancel the admission of any Athlete at its discretion, including but not limited to cases of providing false or misleading information, failure to meet eligibility requirements, or violation of Academy policies. In such cases, the Registration Fee is non-refundable. Tuition Fees paid may be refunded at the Academy’s discretion depending on the circumstances.

4. Fee Structure and Payment Policy

4.1 Fee Schedule

The following fee structure applies to Academy programs as of the effective date of these Terms. The Academy reserves the right to revise fees with reasonable notice:

Kids Development Program (Ages 3–13 years):

Monthly: ₹4,000 | Quarterly: ₹12,000 | Annually: ₹48,000

Pro and Elite Training — 1 Session Daily:

Monthly: ₹6,000 | Quarterly: ₹18,000 | Annually: ₹72,000

Pro and Elite Training — 2 Sessions Daily:

Monthly: ₹7,000 | Quarterly: ₹21,000 | Annually: ₹84,000

Residential Program (Ages 13 years and above, inclusive of training, accommodation, and meals):

Monthly: ₹12,000 | Quarterly: ₹36,000 | Annually: ₹1,44,000

One-Time Non-Refundable Registration Fee: ₹1,000 (applicable to all new enrollments)

Special discounts, sibling concessions, and flexible payment arrangements may be available at the Academy’s discretion. Please contact the Academy administration to discuss.

4.2 Payment Terms

Tuition Fees are due at the beginning of each billing period (monthly, quarterly, or annually depending on the payment plan selected). Fees must be paid in full before the commencement of each billing period unless a specific payment arrangement has been agreed in writing with the Academy administration.

The Academy accepts payment via bank transfer, UPI, cash at the Academy office, and other methods as communicated from time to time. A receipt will be issued for all payments made.

4.3 Late Payment

Failure to pay Tuition Fees by the due date may result in suspension of the Athlete’s access to training sessions, coaching, and Academy facilities until outstanding fees are cleared. The Academy will provide written notice before any suspension is implemented.

Persistent non-payment of fees may result in termination of enrollment. Outstanding fees remain payable in full regardless of termination.

4.4 Fee Revisions

The Academy reserves the right to revise its fee structure with a minimum of 30 days written notice to enrolled Athletes and parents or guardians. Fee revisions will not apply retrospectively to fees already paid for a current billing period.

5. Refund and Cancellation Policy

5.1 Registration Fee

The one-time Registration Fee of ₹1,000 is strictly non-refundable under all circumstances including voluntary withdrawal, expulsion, relocation, or medical reasons.

5.2 Tuition Fees: Voluntary Withdrawal

If an Athlete voluntarily withdraws from a Program, the following refund policy applies:

Withdrawal before the commencement of the billing period: Full refund of Tuition Fees paid for that period.
Withdrawal within the first 7 days of a billing period: 50% refund of Tuition Fees paid for that period.
Withdrawal after 7 days of a billing period: No refund for that period. Fees for future periods not yet commenced will be refunded in full.

All withdrawal requests must be submitted in writing to the Academy administration at info.peacetaekwondo@gmail.com or in person at the Academy office. Verbal withdrawal requests will not be processed.

5.3 Tuition Fees — Medical Withdrawal

In the event of a serious medical condition or injury that prevents an Athlete from continuing training, the Academy will consider refund or credit requests on a case-by-case basis upon submission of a medical certificate from a registered medical practitioner. The Academy’s decision in such cases is final.

5.4 Program Cancellation by the Academy

If the Academy cancels a Program or batch for reasons within its control, enrolled Athletes will receive a full refund of Tuition Fees paid for the cancelled period. The Academy will not be liable for any additional costs, losses, or damages arising from a program cancellation.

5.5 Force Majeure

The Academy shall not be liable for any failure or delay in delivering training programs or services arising from circumstances beyond its reasonable control including but not limited to natural disasters, government restrictions, pandemics, civil unrest, or facility damage. In such cases, the Academy will endeavour to make reasonable alternative arrangements including rescheduling or providing alternative training formats. Refunds in force majeure situations will be considered at the Academy’s discretion.

5.6 Residential Program

For Athletes enrolled in the Residential Program, the refund policy above applies to the training component of fees. Accommodation and meal costs for days already availed are non-refundable. A minimum notice period of 30 days is required for withdrawal from the Residential Program to allow the Academy to make alternative arrangements.

Legal Note: Refund policies in India are subject to the Consumer Protection Act 2019. Legal review is recommended to ensure this policy is enforceable and compliant with current consumer protection standards.

6. Athlete Code of Conduct

Peace Taekwondo Academy is built on the values of Discipline, Respect, Teamwork, and Patriotism. All Athletes, parents, and guardians are expected to uphold these values at all times on and off the training mat.

6.1 Training Conduct

Athletes must arrive punctually for all scheduled training sessions in appropriate training attire.
Athletes must follow all instructions given by coaches and Academy staff at all times during training.
Respectful conduct toward coaches, fellow athletes, Academy staff, and visitors is mandatory at all times.
The use of mobile phones during training sessions is not permitted unless authorised by a coach.
Any form of bullying, harassment, physical aggression outside of supervised sparring, or discriminatory behaviour will not be tolerated.

6.2 Conduct at Competitions and External Events

Athletes representing Peace Taekwondo Academy at any competition, event, or public occasion are expected to conduct themselves with professionalism, sportsmanship, and pride in representing the Academy and India.
Any conduct that brings the Academy into disrepute at or outside of competitions may result in disciplinary action.
Athletes must comply with the rules and code of conduct of all Governing Bodies and event organisers at all competitions.

6.3 Parent and Guardian Conduct

Parents and guardians are expected to be respectful toward Academy staff, coaches, and other families at all times on Academy premises and at competitions.
Parents and guardians must not interfere with coaching decisions or attempt to direct training sessions.
Aggressive, abusive, or disruptive behaviour by a parent or guardian may result in the termination of the Athlete’s enrollment at the Academy’s discretion.

6.4 Anti-Doping

All Athletes training at or representing Peace Taekwondo Academy are expected to comply fully with the Anti-Doping rules of World Taekwondo, India Taekwondo, and the National Anti-Doping Agency (NADA). The Academy strictly prohibits the use of any banned substance. Any Athlete found to be using prohibited substances will face immediate suspension from Academy programs and referral to the relevant Governing Body.

6.5 Disciplinary Action

Violations of the Code of Conduct will be addressed through the following graduated process depending on the severity of the violation:

First violation: verbal warning from the Head Coach or Director.
Second violation: written warning issued to the Athlete and parent or guardian.
Third violation or serious single violation: suspension from training for a specified period, or permanent expulsion from the Academy.

In cases of serious misconduct, the Academy reserves the right to take immediate action including expulsion without prior warning. In such cases, fees already paid for the current billing period are non-refundable.

7. Health, Safety, and Inherent Risk

7.1 Medical Fitness

By enrolling in any Academy program, You confirm that the Athlete is in good physical health and is medically fit to participate in high-intensity Taekwondo training. The Academy strongly recommends that all Athletes undergo a medical examination before commencing training, particularly if they have any pre-existing medical conditions, injuries, or physical limitations.

Athletes with any medical condition, allergy, or physical limitation that may affect their training must disclose this information to the Academy at the time of enrollment and must keep the Academy informed of any changes to their medical status during their enrollment.

7.2 Inherent Risk of Physical Training

Taekwondo is a martial art and combat sport involving physical contact, high-intensity movement, sparring, and competition. By enrolling in Academy programs, You acknowledge and accept that physical training of this nature carries an inherent risk of injury including but not limited to bruises, muscle strains, sprains, fractures, and other physical harm.

The Academy takes all reasonable precautions to minimise the risk of injury including appropriate warm-up protocols, safety equipment, supervised sparring, and qualified coaching. However, the Academy cannot eliminate all risk associated with physical training and competition.

By enrolling in Academy programs, You voluntarily assume the inherent risks of Taekwondo training and competition and agree that the Academy shall not be liable for injuries sustained during the course of training, sparring, or competition when the Academy has taken reasonable safety precautions.

Legal Note: Assumption of risk clauses are enforceable in India under certain conditions. A legal professional should review this clause to ensure it is appropriately worded and does not inadvertently limit the Academy’s duty of care.

7.3 First Aid and Medical Response

The Academy maintains basic first aid facilities at its training centre. In the event of an injury during training, the Academy will provide immediate first aid and will contact the parent or guardian and emergency contacts provided at the time of enrollment.

For serious injuries requiring medical attention beyond first aid, the Academy will arrange or assist with transportation to the nearest appropriate medical facility. The cost of medical treatment is the responsibility of the Athlete and their family unless otherwise agreed.

7.4 Training Attire and Equipment

Athletes are required to train in appropriate Taekwondo attire including a Dobok (uniform) and approved protective equipment for sparring sessions. The Academy will communicate specific equipment requirements to enrolled Athletes. The Academy is not responsible for any injury arising from the use of inappropriate, ill-fitting, or defective personal equipment brought to training by the Athlete.

8. Attendance and Leave Policy

8.1 Attendance Requirements

Regular attendance is essential to athletic development and progress at Peace Taekwondo Academy. Athletes are expected to attend all scheduled training sessions for their batch. High-performance and Elite batch Athletes are particularly expected to maintain consistent attendance as irregular participation directly affects competitive preparation and team dynamics.

8.2 Notifying Absences

If an Athlete is unable to attend a scheduled training session, the parent or guardian must notify the Academy by WhatsApp or phone at least 2 hours before the session begins where possible. Unnotified absences that become a pattern may be addressed through the disciplinary process.

8.3 Make-Up Sessions

Missed training sessions will not routinely be rescheduled or made up. The Academy is not obligated to provide replacement sessions for absences. In exceptional circumstances such as extended medical absence, the coaching team may advise on a return-to-training plan, but this does not constitute a contractual obligation to provide equivalent training time.

8.4 Long-Term Absence

Athletes who are absent for more than 14 consecutive days without written notice to the Academy may be removed from their batch to allow their place to be offered to a waiting Athlete. In such cases, fees already paid are governed by the refund policy in Section 5. The Academy will make reasonable attempts to contact the Athlete and parent or guardian before removing them from a batch.

9. Residential Program — Additional Terms

The following additional terms apply exclusively to Athletes enrolled in the Peace Taekwondo Academy Residential Program. These terms supplement and do not replace the general Terms set out elsewhere in this document.

9.1 Eligibility and Admission

The Residential Program is available to Athletes aged 13 years and above who demonstrate the commitment and physical ability required for full-time high-performance training. Admission to the Residential Program is at the sole discretion of the Academy’s coaching and management team following an assessment of the Athlete.

9.2 Rules of Residence

Residential Athletes must adhere to the Academy’s daily schedule including training sessions, meal times, study periods, and lights-out times as communicated by the hostel management.
Residential Athletes must keep their accommodation clean and orderly and treat all Academy property with care and respect.
Unauthorised guests are not permitted in the residential facility.
The possession or consumption of alcohol, tobacco, or any illegal substance in the residential facility is strictly prohibited and will result in immediate expulsion.
Residential Athletes may not leave the Academy premises without prior permission from the hostel management or Academy Director.
Electronic devices including mobile phones and tablets must be used only during designated personal time as specified in the residential schedule.

9.3 Welfare and Supervision

The welfare of all residential Athletes is overseen by Dr. Subra Das, Hostel and Athlete Welfare Officer, and the Academy’s residential management team. Athletes and parents or guardians may contact the welfare officer at any time regarding concerns about the Athlete’s wellbeing.

The Academy will conduct regular welfare checks and maintain open communication with parents and guardians regarding the Athlete’s progress, health, and general wellbeing in the residential facility.

9.4 Damage to Academy Property

Any damage to Academy property, residential facilities, training equipment, or any other Academy asset caused by an Athlete will be the financial responsibility of the Athlete and their parent or guardian. The cost of repair or replacement will be assessed by the Academy and invoiced accordingly.

9.5 Withdrawal from Residential Program

A minimum written notice of 30 days is required for withdrawal from the Residential Program. This notice period allows the Academy to make necessary arrangements for the vacated place. Failure to provide adequate notice may result in the forfeiture of one month’s residential fees.

9.6 Meals and Dietary Requirements

The Academy provides nutritious meals as part of the Residential Program fee. Athletes with specific dietary requirements, food allergies, or religious dietary restrictions must declare these at the time of enrollment. The Academy will make reasonable efforts to accommodate declared dietary needs but cannot guarantee the complete elimination of all allergens from the kitchen environment.

10. Competition Participation and Representation

10.1 Selection for Competition

Selection of Athletes to represent Peace Taekwondo Academy at competitions is entirely at the discretion of the Head Coach and coaching team. The Academy does not guarantee any Athlete’s selection for any competition regardless of their enrollment in the Elite or Residential Program. Coaches base selection decisions on athletic performance, competitive readiness, fitness, and strategic considerations.

10.2 Competition Costs

Costs associated with competition participation including entry fees, travel, accommodation, meals during travel, and competition equipment are not included in standard Tuition Fees unless specifically stated at the time of selection. The Academy will communicate competition-related costs to Athletes and families in advance. In some cases the Academy may seek external sponsorship or funding to support Athletes competing internationally.

10.3 Compliance with Governing Bodies

All Athletes participating in competitions sanctioned by India Taekwondo, the Taekwondo Federation of India, or World Taekwondo must comply with the rules, regulations, and codes of conduct of those bodies. The Academy accepts no liability for any consequences arising from an Athlete’s non-compliance with Governing Body rules.

10.4 Photography and Media at Competitions

Competitions are public events and Athletes may be photographed or filmed by official event media, other teams, spectators, and press. The Academy is not responsible for the use of such images or footage by third parties at external competition venues.

11. Intellectual Property

All content on the Academy’s Website including but not limited to text, photographs, videos, athlete profiles, training methodologies, program descriptions, logos, and design elements is the property of Peace Taekwondo Academy or its licensed contributors and is protected by applicable Indian copyright law.

You may not reproduce, distribute, commercially exploit, modify, or publicly display any content from the Academy’s Website or printed materials without the prior written permission of the Academy.

The Peace Taekwondo Academy name, logo, and associated branding are protected marks. Their use without written authorisation from the Academy is strictly prohibited.

12. Photography, Video, and Media Consent

Training sessions, competitions, camps, and Academy events may be photographed and filmed by the Academy or its authorised representatives for the purposes of athlete development feedback, marketing, social media, press coverage, and archival records.

By enrolling at the Academy, You acknowledge and consent to the Academy’s use of photographs and videos featuring You or Your child for the purposes described above, unless You have explicitly provided written notice of objection at the time of enrollment.

Athletes or parents who do not wish their images used for marketing or public communications must notify the Academy in writing at the time of enrollment at info.peacetaekwondo@gmail.com. Refusal of media consent does not affect Your right to participate in any Academy program.

You may withdraw media consent at any time by written notice to the Academy. Withdrawal applies to future use only and does not require the Academy to remove content already published prior to the withdrawal request.

13. Limitation of Liability

The Academy provides high-quality Taekwondo training and endeavours to ensure the safety, development, and progress of all enrolled Athletes. However:

The Academy does not guarantee that any Athlete will achieve any specific competitive result, ranking, selection for national teams, or any other sporting outcome. Athletic performance and results depend on individual effort, ability, and many factors outside the Academy’s control.
The Academy is not liable for any indirect, consequential, or special loss or damage arising from participation in Academy programs, including loss of earnings, travel costs, or other expenses incurred in connection with competition or training.
The Academy’s total liability to any Athlete or parent or guardian for any claim arising from these Terms shall not exceed the total Tuition Fees paid by that Athlete for the current billing period.
Nothing in these Terms limits the Academy’s liability for death or personal injury caused by the Academy’s negligence, or for any other liability that cannot be lawfully excluded or limited under Indian law.

Legal Note: Limitation of liability clauses are subject to scrutiny under the Consumer Protection Act 2019. Legal review is strongly recommended to ensure these limitations are enforceable and do not inadvertently expose the Academy to greater liability.

14. Website Use

Access to and use of the Academy’s Website at www.peacetaekwondo.com is subject to the following conditions:

You must not use the Website in any way that is unlawful, harmful, or disruptive.
You must not attempt to gain unauthorised access to any part of the Website or its underlying systems.
You must not post, submit, or transmit any content that is defamatory, abusive, obscene, or otherwise objectionable.
The Academy reserves the right to restrict or terminate access to the Website without notice if these conditions are violated.

The Website may contain links to external websites. The Academy is not responsible for the content or practices of any third-party website and does not endorse any linked site.

15. Privacy and Data Protection

The collection, use, storage, and protection of personal information submitted to the Academy is governed by the Academy’s Privacy Policy, which is available on the Website at www.peacetaekwondo.com and forms part of these Terms by reference.

By enrolling at the Academy or using our Website, You consent to the processing of Your personal information as described in the Privacy Policy.

16. Termination of Enrollment

16.1 Voluntary Withdrawal

An Athlete or parent or guardian may withdraw from any Academy program at any time by providing written notice to the Academy. Refunds on withdrawal are governed by the Refund and Cancellation Policy in Section 5.

16.2 Termination by the Academy

The Academy reserves the right to terminate the enrollment of any Athlete at its discretion, including but not limited to the following circumstances:

Serious or repeated violation of the Code of Conduct
Non-payment of fees after reasonable notice
Provision of false or misleading information at the time of enrollment
Behaviour by the Athlete or parent or guardian that is harmful to the Academy community
Medical advice indicating that continued training is a risk to the Athlete’s health or the health of others

Where the Academy terminates enrollment for reasons attributable to the Athlete or parent or guardian, the Registration Fee and any fees already paid for the current billing period are non-refundable.

17. Grievance Redressal

Peace Taekwondo Academy is committed to resolving any concerns raised by Athletes, parents, or guardians fairly and promptly. If You have a complaint or grievance regarding any aspect of your experience at the Academy, please follow the process below:

Step 1: Raise the concern directly with Your assigned coach or the Academy’s administration team in person or by email at info.peacetaekwondo@gmail.com.
Step 2: If the concern is not resolved within 7 working days, escalate in writing to the Academy Director at the same email address, clearly marked for the attention of the Director.
Step 3: If the concern remains unresolved after a further 14 working days, the matter may be referred to mediation or legal proceedings as described in Section 18.

The Academy takes all grievances seriously and will respond to all written complaints within 7 working days of receipt.

18. Governing Law and Dispute Resolution

These Terms and Conditions are governed by and construed in accordance with the laws of India, including the Indian Contract Act 1872, the Consumer Protection Act 2019, and other applicable legislation.

In the event of any dispute arising from or in connection with these Terms, the parties agree to first attempt resolution through good faith discussion. If the dispute cannot be resolved through discussion within 30 days of written notice, the parties may seek resolution through mediation before a mutually agreed mediator.

If mediation is unsuccessful, disputes shall be subject to the exclusive jurisdiction of the competent courts in Gurugram, Haryana, India.

19. General Provisions

19.1 Entire Agreement

These Terms and Conditions, together with the Academy’s Privacy Policy and Refund Policy, constitute the entire agreement between the Academy and the Athlete or parent or guardian with respect to enrollment in Academy programs and supersede all prior understandings, representations, or agreements.

19.2 Severability

If any provision of these Terms is found to be invalid, unlawful, or unenforceable by a court of competent jurisdiction, that provision shall be deemed severed from these Terms. The remaining provisions shall continue in full force and effect.

19.3 Waiver

The Academy’s failure to enforce any provision of these Terms on one occasion does not constitute a waiver of that provision or of the Academy’s right to enforce it on any future occasion.

19.4 Communication

All formal communication between the Academy and enrolled Athletes or parents or guardians shall be in writing, delivered by email, WhatsApp message, or in person at the Academy office. Communication via email to info.peacetaekwondo@gmail.com or WhatsApp to +91 90159 91818 shall be considered valid written notice for the purposes of these Terms.

By enrolling in any program at Peace Taekwondo Academy, submitting an enrollment form, making a fee payment, or using our Website, You confirm that:

You agree to be bound by these Terms and Conditions.
If You are a parent or guardian enrolling a minor Athlete, You accept these Terms on behalf of both yourself and the Athlete.
You consent to the collection and use of personal information as described in the Academy’s Privacy Policy.
You acknowledge the inherent risks of physical training and competition as described in Section 7.
